Policies, Terms & Conditions


Please review each of our policies carefully before making your purchase.

There are no cancellations or returns on special orders, custom orders, or rush orders (i.e. new machines, custom graphics, rush orders, etc.). All such sales are final and 100% non-refundable.

Cancellation and return requests must be made in writing to sales@vendingconcepts.com. If a request is submitted, for an eligible order, within 24 hours of the order being placed, there are no fees or costs to cancel the order. Cancellation of an eligible order after 24 hours of it being placed is subject to a 25% restocking and reprocessing fee plus shipping charges.

Although free to the buyer, there is a cost for shipping incurred by Vending Concepts. Upon returning the machine, the buyer is solely responsible for those costs. This includes both the cost to transport the machine to the buyer and the cost to transport the machine back to Vending Concepts. The total amount of all associated costs of transport is deducted from the reimbursement. Upon request, Vending Concepts will provide a quote from the carrier for the shipping cost from Vending Concepts to the buyer and from the buyer to Vending Concepts.

When returning a machine, the buyer is responsible for properly securing the machine and packaging it in the same manner it was shipped from Vending Concepts. If the machine is sent back and arrives in a condition other than how it shipped from Vending Concepts, the buyer will be responsible for all repair costs to get the vending machine back in the original condition the machine was shipped in. The buyer will continue to be the owner of the machine until it is received in the "same condition" as was purchased by the buyer and a refund may be issued for the machine purchase less shipping, restocking fees, and deductions if any (due to returning it "not" in the same condition it was bought).

All returns must be accompanied by an (RMA) Return of Merchandise Authorization and can only be obtained within 7 days of receiving the machine or 60 days from the original purchase date, whichever comes first. There will be no returns after 7 days of receiving the merchandise or 60 days from the original purchase date, whichever comes first. To obtain an RMA, please contact sales@vendingconcepts.com.

Vending Concepts ships vending machines to the lower 48 states unless otherwise agreed upon. Upon receipt of the machine,some assembly, adjustments, modifications and leveling may be required. Vending Concepts ships LTL Freight, curbside delivery to the ground, loading dock, or your forklift will take it off the truck. It is the responsibility of the buyer to move the machine from the delivery address’ curb to the equipment's final destination. In most instances, the machine will need to be removed from the pallet prior to bringing through doorways due to the size restrictions. This is the sole responsibility of the buyer.

Free shipping is only available to a commercial address, with a forklift or loading dock, to the lower 48 states. Remote, limited access locations, and additional services are subject to additional shipping charges, which must be collected prior to shipping.

The prices we charge for our services and for our products are listed on the website. We reserve the right to change our prices for products displayed at any time and to correct pricing errors that may inadvertently occur. Additional information about pricing and sales tax is available on the payment page.

We may, without prior notice, change the services; stop providing the services or any features of the services we offer; or create limits for the services. We may permanently or temporarily terminate or suspend access to the services without notice and liability for any reason, or for no reason.

The standard options for different shipping requirements of vending machines are as follows:

Commercial addresses without a lift gate: (no lift gate needed at a commercial address with a forklift or loading dock) Delivered onto customers loading dock or to a commercial address, not listed in the LIMITED ACCESS portion, whereas the buyer unloads the freight with a fork truck

Commercial address with lift gate needed: Curbside delivery to storefront, driveway or shipping and receiving area, that is not listed in the LIMITED ACCESS portion, but the driver will NOT bring freight into the building.

Limited access: A limited access location is an area where pickup or delivery is restricted or limited. A helpful way to describe what a carrier will consider a Limited Access or Non-Commercial location is to consider the location from the driver’s perspective. For example, if the driver has to go out of their normal route area, cannot pull up to a loading dock and load or unload within 10-15 minutes, the location will be considered either Limited Access or Non-Commercial and additional fees will apply. This typically means types of locations that, on average, have a longer than expected delivery time or higher level of difficulty accessing delivery point with a 53-foot truck, gated areas a driver must check into, commercial establishments not open to the walk-in public, or destinations where an employee is not available to assist with loading or unloading. Below is a list of specific destinations considered Limited Access. Since some locations are at the discretion of the carrier, this is not an all-inclusive list, but instead includes the most common places where additional charges will apply. In the event that the destination location is classified as something other than originally specified while placing the order, resulting in additional charges and or fees, it will be the buyer's responsibility to provide payment for those charges and or fees.

Remote access: shipments must be quoted and are only where the freight companies charge a great premium because they are far away from normal freight paths and in such cases, the additional charge will vary and can be quoted prior to purchase. Other shipping options are available as needed and must be quoted on an as-requested basis as prices will always vary depending on many variables, including but not limited to fuel costs and time of year.
  • Inside Delivery: this service is provided upon request. With this service, the freight carrier may move the machine through one threshold from ground level to ground level. The carrier will not remove the machine from the pallet. The carrier will not remove packaging. The width of the door must be 4 inches wider than the pallet to pass through and the door height must be higher than the height of the machine on the pallet plus 6 inches. It is the responsibility of the owner of the machine to remove from the pallet and remove the packaging and set the machine in place.
  • Priority Shipping - If you desire the receipt of your equipment expeditiously, carrier’s offer Priority Shipping. Priority Shipping is an additional service the carrier offers to upgrade transit time from “estimated” to “expected”. This increases the reliability of the transit while it moves at a higher priority level than standard shipments. Failure by the carrier to deliver the shipment in the expected timeframe will result in the reimbursement of solely the additional cost of the Priority Shipping upgrade. All other freight cost or cost of equipment are unrelated to Priority Shipping and are not eligible for reimbursement due to delays in delivery of the equipment.
  • Call Ahead - This service adds instructions for the driver to call the phone number that is provided when in route to the delivery address. It is at the driver’s discretion to call when they deem appropriate. While this service is noted with the carrier as well as added to the paperwork it is possible the service is missed by the delivery driver. It is strongly recommended not to rely on this service to make arrangements, but rather to track the transit through the link provided and contact the destination terminal directly to ensure you are prepared for the shipment upon arrival.
  • Appointment - With this service, the carrier will contact you to set a date and window of time for delivery. Please be advised that this service typically delays the shipment’s transit.
Detention: In the event that the machine cannot be unloaded within 30 minutes upon arrival, the shipment will incur additional charges and or fees in incremental blocks of 15 minutes. It will be the buyer's responsibility to provide payment for the charges and or fees incurred.

Our vending machines are prepared for shipping and strapped to a pallet to greatly reduce the possibility of shipping damages. With that said, it is the buyer's responsibility to inspect the machines purchased for shipping damages BEFORE signing for the freight. If there is any damage to the machines purchased that is visible, it MUST be clearly documented in writing on the delivery receipt the carrier requires to be signed. It is the buyer's or a representative's full responsibility to document the damages to the machines by clearly writing "DAMAGE" on the carrier’s paperwork. If the delivery receipt is signed from the carrier without writing "DAMAGE", then the signee is stating the equipment was delivered in good condition. Failing to mark the shipment as "DAMAGED", will likely result with the carrier rejecting any claim filed. In that case, it will be the buyer’s loss if there is shipping damage and the delivery receipt is signed without fully documenting shipping damages. It is the buyer's full responsibility to file the claim with the carrier. The buyer should ensure appropriate arrangements are made to receive and fully inspect the machines when they arrive.

Once the buyer's equipment is picked up by the carrier from our facility or from the manufacturer, the ownership of the equipment transfers from Vending Concepts to the buyer. Vending Concepts is NOT responsible for any damages or delays caused in transit. In the unlikely event that the shipment arrives damaged the buyer must file a claim through the carrier for damages. Vending Concepts is available to consult the buyer and assist as Vending Concepts deems appropriate with the claim process, but in no way is Vending Concepts responsible nor liable for any damages and or delays during transit. Vending Concepts does NOT exchange or replace equipment due to damages during transit. The buyer can NOT exchange, request compensation from Vending Concepts, cancel the order or initiate a credit card claim against Vending Concepts because of damages in transit, or delays in delivery.

Vending Concepts offers a 30-Day Limited Parts Only Warranty on all machines sold, except for new machines, which will be covered by the manufacturer's warranty. The warranty begins upon delivery of the machine. This 30-Day Limited Parts Only Warranty does not cover service calls, labor, shipping costs, freight cost, handling cost, normal wear and tear, any damage, failure or loss caused by improper set-up, assembly, maintenance, storage, misuse, defacement, or vandalism. Vending Concepts 30-Day Limited Parts Only Warranty will be void if the product is ever:

  • Used in a manner other than its intended purpose
  • Modified in any way after shipping from Vending Concepts
  • Vending Concepts or its directors, officers, employees, affiliates, agents, contractors, interns, suppliers, service providers or licensors will not be liable for any injury, loss, claim, or any direct, indirect, incidental, punitive, special, or consequential damages of any kind, including, without limitation lost profits, lost revenue, lost savings, loss of deposit, loss of location, loss or spoilage of product, replacement costs, or any similar damages.

    To use Vending Concepts' technical support service, the buyer must submit a ticket through our website or by calling our main number Monday through Friday, excluding holidays, from 8:00 a.m. - 4:00 p.m. Central Standard Time. The buyer must have the invoice number, name by which the machine was purchased, model of the machine they are seeking support for and a brief description of what the support is in regards to in order to submit a ticket. Once a ticket has been created there is a 1-2 business day response time. Our support team will provide instructions and if they deem necessary they will schedule an appointment for live phone support. Live phone support can only be done while the buyer is in front of the machine they are needing support for. Vending Concepts will only support what we have sold directly to the customer, if the customer chooses to resell the equipment, support is not grandfathered into the new ownership.

    FAQs about Consumer Priority Service Extended Warranty

If a buyer attempts to dispute the purchase through the issuing credit card company, or third-party purchase provider, and violates the terms of this agreement, Vending Concepts may take legal action and defend this agreement to the full extent of the law. Vending Concepts will automatically charge a $500.00 administrative fee to defend the dispute. If the dispute renders a decision in favor of the buyer, therefore ignoring the clear terms of this agreement, the buyer will still be fully responsible to adhere to the terms of this agreement as well as be liable for all attorney’s fees and court costs should Vending Concepts seek legal action. Additionally, Vending Concepts may attempt to collect the debt through a collection agency. This agreement will remain in effect and will govern this purchase regardless of the outcome of the dispute.

Any orders that the Buyer places and fails to complete payment for, return necessary documents to release the order, provide information necessary to complete the order, arrange pick up, or accept delivery, within 90 days of purchase, will incur storage charges. Storage charges will incur automatically and will not require written notice prior to incurring. Storage charges will incur at a rate of $250.00 per unit for the first day and an additional $10.00 per unit per day thereafter. The machines will be held as collateral against the storage charges and will not be released until the charges are paid in full. Once the storage charges exceed the value of the equipment, the equipment will be considered abandoned and thus returning ownership to Vending Concepts, at which point all storage charges will be considered paid.

This website is owned and operated by Vending Concepts, LLC. These terms set forth the terms and conditions under which you may use our website and services as offered by us. This website offers visitors vending machines, parts, services and support. By accessing or using the website of our service, you agree that you have read, understood, and agree to be bound by these Terms.

When buying an item, you agree that: (i) you are responsible for reading the full item listing before making a commitment to buy it: (ii) you enter into a legally binding contract to purchase an item when you commit to buy an item and you complete the check-out payment process.

Vending Concepts is not responsible for shipping delays. We can't control the weather or the speed and or accuracy of the shipping companies. We do our best to beat or meet all estimated ship out dates. Sometimes parts can be on backorder in which case we will communicate with you to keep you abreast of any delays but, that is a rarity. We service the entire country from the heart of the country and as such can offer free shipping on any vending machine in excess of $1,395.00! The free shipping is only to a commercial address with a forklift or loading dock to the lower 48 states. You agree to indemnify and hold Vending Concepts, LLC harmless from any demands, loss, liability, claims or expenses (including attorneys’ fees), made against them by any third party due to, or arising out of, or in connection with your use of the website or any of the services offered on the website. To the maximum extent permitted by applicable law, in no event shall Vending Concepts, LLC, be liable for any indirect, punitive, incidental, special, consequential or exemplary damages, including without limitation, damages for loss of profits, goodwill, use, data or other intangible losses, arising out of or relating to the use of, or inability to use, the service.

To the maximum extent permitted by applicable law, Vending Concepts, LLC, assumes no liability or responsibility for any (i) errors, mistakes, or inaccuracies of content; (ii) personal injury or property damage, of any nature whatsoever, resulting from your access to or use of our service; and (iii) any unauthorized access to or use of our secure servers and/or any and all personal information stored therein.

We reserve the right to modify these terms from time to time at our sole discretion. Therefore, you should review this page periodically. Your continued use of the Website or our service after any such change constitutes your acceptance of the new Terms. If you do not agree to any of these terms or any future version of the Terms, do not use or access (or continue to access) the website or the service.

You agree to receive from time to time promotional messages and materials from us, by mail, email or any other contact form you may provide us with (including your phone number for calls or text messages). If you don't want to receive such promotional materials or notices – please notify us at any time.

These Terms, the rights and remedies provided hereunder, and any and all claims and disputes related hereto and/or to the services, shall be governed by, construed under and enforced in all respects solely and exclusively in accordance with the internal substantive laws of the United States, Texas, without respect to its conflict of laws principles. Any and all such claims and disputes shall be brought in, and you hereby consent to them being decided exclusively by a court of competent jurisdiction located in Fort Worth. The application of the United Nations Convention of Contracts for the International Sale of Goods is hereby expressly excluded.

When we receive a valid warranty claim for a product purchased from us, we will either repair the relevant defect or replace the product. We will pay for shipment of repaired or replaced products to the customer and the customer will be responsible for the return shipment of the product to us.
